Lifecycle of Standalone Planogram

In Quant, you create a planogram in Draft state, in which you can make any changes without the store seeing them. You publish planograms to stores only at the moment of publication. Usually, a planogram is published to Waiting state. A store can view a waiting planogram on its web portal (Quant Web).

In this manual, you will learn:

Planograms are published to their lifecycle state in the Planogram Editor under the Lifecycle tab.

Quant offers four life cycle states:

    • Draft – a planogram that you are working on. Planograms in the Draft state are not visible to stores on Quant Web.
    • Prepared – a planogram that does not need to be implemented yet. It can be useful if you want to publish the planogram to a store so that it can order products based on it, for example. When publishing a planogram as Prepared, you can also set it to automatically switch to Waiting on a specific date that you set.
    • Waiting – a planogram that is current and must be implemented by the store by a certain date.
    • Implemented – a planogram that has been implemented at the store and whose implementation has been confirmed by the store.

In Quant, you create a planogram in Draft state, in which you can make any changes without the store seeing them. Planograms are only published to stores at the moment of publication. Usually, a planogram is published to the Waiting state. The store can view the Waiting planogram on its web portal (Quant web). At the same time, you can inform stores that a new planogram has been published on the web via an automatic email notification, which you set up in Quant.

The store's task is to display the products according to the planogram you have published. Once the store is done, it confirms the implementation on the website, which changes the planogram state to Implemented.

If you use planograms linked with floor plans, the published planograms are color-coded in the branch floor plan for better orientation:

    • Prepared  blue arrow
    • Waiting red arrow
    • Implementedgreen arrow

If the planogram is not published to Prepared, Waiting, or Implemented state, it will not be visible on the Quant website.

How to publish a planogram as Waiting?

  1. Go to the Lifecycle tab and open the Published Planograms tab at the bottom.
  2. You must mark the planogram(s) you want to publish in the table below.
  3. Click the Publish as Waiting button. The button is located above the table with the list of planograms.
  4. Select the date by which the store should implement the planogram in the Latest Implementation Date line.
  5. At your discretion, you can check the Implementation Photo Required box. If you check it, the store will have to upload a photo of the implementation when confirming the implementation on the website.
  6. Click OK.

 After publishing the planogram, it is moved to the appropriate lifecycle field in Quant.

By publishing, you are making the planogram public on the Quant website. When you log in to Quant Web, the Floor Plan menu will display the store layout, with red arrows marking the fixtures for which a planogram has been published to a Waiting state (blue arrows mark prepared planograms and green arrows mark implemented planograms).

If you do not use floor plans, the published planogram will be displayed in the Planograms section, where you will find a list of all planograms published with in the Waiting state. From there, you can click through to the details of a specific planogram.

How to publish a planogram as Prepared?

  1. Go to the Lifecycle tab and open the Published Planograms tab at the bottom.
  2. You must mark the planogram(s) you want to publish in the table below.

  3. Click the Publish as Prepared button. The button is located above the table with the list of planograms.

  4. Select the date by which the store should implement the planogram in the Latest Implementation Date row.

  5. You can set the planograms to automatically switch to Waiting state by checking the Switch Automatically box and setting the date in the Earliest Date field.

  6. Click OK.

This section describes the properties that you will find in the window when publishing a planogram as Prepared. Some of them are the same as the properties for publishing to the Waiting state.

Switch automatically

If you check this box, the planogram will automatically switch to Waiting once the set conditions are met.

In order for the system to enable automatic switching, the following information must be filled in:

      • Earliest Date – the date from which we want the planogram to be able to switch to Waiting state.
      • Latest Implementation Date – the date by which the store should implement the planogram.

Check Availability

The planogram can automatically switch to Waiting state when all products in the planogram are available. If you want the planogram to switch automatically depending on availability, this field must be checked. If it is unchecked, the planogram will switch to Waiting state when the switch date is reached.

A product is considered available if it is physically present in the store (i.e., in stock) in a quantity or package that corresponds to the minimum quantity specified for planogram implementation.

Availability indicates whether there is sufficient physical stock of individual products located in the planogram in the store. If Check Availability is enabled, Quant checks whether the products are actually in stock in sufficient quantities before switching the planogram from Prepared to Waiting state. This ensures that only planograms that can actually be physically implemented are published to stores.

If we check the Check Availability box, we can further select other attributes, namely:

    • Require Whole Section Availability – if this option is checked, the availability of the entire section will be checked. If it remains unchecked, only the availability of the relevant segment will be checked.
    • Minimum Availability – determines what percentage of products from the planogram must have sufficient stock in order for the planogram to be switched to Waiting state.
      For example, a value of 80% means that 80% of products must have sufficient stock in stock.
    • Sufficient Stock Share – determines what "sufficient stock" means for a specific product – i.e., what proportion of the product quantity in the planogram must be in stock.
      For example, a value of 60% means that at least 60% of the quantity planned in the planogram must be in stock at the store.
How Quant calculates availability?

The number of packages of each product in the planogram (width × height × depth) is calculated. This number is multiplied by the so-called Max coefficient, which is set for the combination of store and category. This gives us the value N. The value N is then multiplied by the value of Sufficient Stock Share (e.g., 60%) and divided by 100, giving us the value F. The stock of the product at the given store is checked. If the stock is ≥ F, the product has met the availability condition. If the stock is < F, the product has not met the condition. After evaluating all products, the percentage of those that have met the condition is calculated. This percentage is compared to the Minimum Availability value. If the achieved percentage is ≥ Minimum Availability, the planogram switches to Waiting state. Otherwise, it remains in the Prepared state.

Latest Date

This option makes sense especially in combination with the Check Availability and Sufficient Stock Share functions. It allows the planogram to automatically switch to Waiting state even if the set conditions are not met.

We use this function, for example, in a situation where we have a time limit by which the planogram must switch to the Waiting state – regardless of whether the conditions are met. A typical scenario is setting a 14-day deadline for meeting the conditions. If the conditions are not met by then, the system automatically forces the switching.

After the specified date has passed, the planogram is automatically moved to the archive and is no longer visible.

Implementation Photo Required

When confirming the implementation, the store is required to attach a photo. Without uploading it, the system will not allow the implementation to be confirmed.

If products are replaced at a store in accordance with the automatic planogram update rules, a photo of the implementation of this change may be required.

Do Not Notify

The store will not be notified of the change by email. This option is useful, for example, when making a large number of repeated changes, as we do not want to overwhelm the store with notifications.

Ordering Since

Allows you to specify when products from a given planogram should be ordered, regardless of its publication date. This option is used in cases where it is not desirable for orders to be placed immediately after the planogram is published.

If you need to manually switch a planogram from Prepared to Waiting state, you can use the button above the planogram table Adjust Prepared/Prepared to Waiting.

Publication options

Above the table with planograms, there are buttons that you can use for various actions with planograms. When you click on a button, a menu appears where you can always choose from the options.

Adjust prepared

    • Prepared to Waiting – moves the planogram from Prepared to Waiting state.
    • Change Publishing Parameters – allows you to modify the publishing parameters that are set when publishing a planogram (implementation date, require implementation photo, etc.).
    • Remove Prepared Planogram – removes the relevant planogram from the lifecycle.
    • New Task – creates a new task with the system status Draft or Opened, linked to the Planogram context.

Adjust Waiting

    • Confirm Implementation – confirms the implementation of the planogram.
    • Change Publishing Parameters – allows you to modify the parameters that are set when publishing the planogram (implementation date, require implementation photo, etc.).
    • Remove Waiting Planogram – removes the relevant planogram from the lifecycle.
    • New Task – creates a new task with the system status Draft or Opened, linked to the Planogram context.

Adjust Implemented

    • Set as Waiting for Approval – cancels the previous approval or rejection of implementation and moves the planogram back to Waiting state.
    • Approve – approves implementation.
    • Disapprove – rejects implementation.
    • Require New Photo – makes approval of the implementation conditional on uploading a new photo.
    • Change Publishing Parameters – allows you to modify the parameters that are set when publishing a planogram (implementation date, require implementation photo, etc.).
    • Move to Archive – moves implemented planograms to the archive, the remaining planogram states remain unchanged.
    • New Task – creates a new task with the system status Draft or Opened, linked to the Planogram context.

Publish as Prepared/Waiting – publishes the planogram to Prepared or Waiting state.

Publication options

Change Planogram Properties – allows you to change the properties of already published planograms, such as the ability to display the number of packages in depth, the number of packages side by side, the product position number, or to display Product Labels for all products or only for products that do not have an image.

Filtering in the Lifecycle table

How can you find out what planograms are present in stores and what life cycle state they are at?

In the Published Planograms tab, you can see which planograms are published at the store (and what state of the lifecycle they are in). For example, you can filter only planograms from a specific store and find out what lifecycle state they were published to. At the same time, the Prepared, Waiting, and Implemented columns in the planogram table are very useful, as they allow you to filter all planograms at a specific lifecycle state.
