Information about the processing of your personal data related to participation in workshops and seminars organized by Quant Retail s.r.o.

This information is provided to you in accordance with the General Data Protection Regulation (Regulation (EU) 2016/679 of the European Parliament and of the Council, hereinafter referred to as the "Regulation").

2. When is your personal data processed?

2.1. The processing of your personal data takes place after you register for a workshop or seminar we organise via the online form on our website.

3. Legal basis for processing personal data, method and purpose of processing, storage period

We are entitled to process your personal data even without your consent to the extent necessary for the purposes of our legitimate interests (Art. 3.1).

We are also entitled to process your personal data on the basis of your consent (Art. 3.2).

Below we provide more detailed information about the different legal bases for processing personal data:

3.1. Processing necessary for the purposes of our other legitimate interests

3.1.1 In order to run a workshop or seminar, we need to process selected personal data that you have provided to us when you registered. We process your identification data (first name, surname), selected address data (e-mail address, telephone number; we do not collect or process your home address) and descriptive data if you have provided it in the registration form (your employer's name, your job title and, if applicable, your academic degree if you have provided it in the registration form). If you also acted as a speaker at our workshop/seminar, we also process data about the content of your presentation.

3.1.2 Purpose of processing: We process data on the content of the lecture given by registered participants in order to record and maintain the quality of future workshops/seminars (e.g. to avoid inviting the same participants to identical workshops/seminars).

3.1.3 Period of retention: 10 years, because for the purpose of organising quality workshops/seminars we want to keep track of the content and participants of each workshop/seminar.

3.2. Processing on the basis of your unconditional and revocable consent

3.2.1 Only if you give us your consent via the registration form on our website are we entitled to:

a) take your photograph at the workshop/seminar,

b) make an audiovisual recording, including an audiovisual recording of your presentation,

c) to use photographs and audiovisual recordings of you (your likeness including identifying personal data, your employer's name and the position you hold) for the purpose of creating promotional materials in written form (leaflet, brochure) or in electronic form (creation of a promotional video including cuts using shortened parts of the lecture or sequences, editing of the audio component of the video including music, use of filters, etc.),

d) publishing and distributing a photograph or promotional video with your image and other data, in particular by placing it on our website or on the website of a third party, or by placing it on social networks.

3.2.2 Distinctive and unconditional consent: you give us your consent by actively checking the box "I consent to the taking and use of photographs/audio/video recordings during the workshop." We do not make any conditions for giving consent and we do not give any advantage to those participants who give their consent.

3.2.3 Withdrawal of consent: you have the right to withdraw your consent at any time by sending us a written or electronic request (in the form of an e-mail) to the registered office address or e-mail address listed in Article 1.1 above.

3.2.4 Purpose of processing: the purpose of the processing is to use the photographs or audiovisual recordings for our marketing purposes as described above in Article 3.2.1.

4. Where do we process and to whom do we provide your personal data?

4.1. We process personal data in the Czech Republic. The exception is the publication of electronic marketing materials (photos, video) on websites that are accessible worldwide.

4.2. We transfer your personal identification data in the form of a list of participants to the accommodation provider in connection with your accommodation and the assignment of rooms to individual participants according to their wishes.

4.3. If you have given us your consent to process your personal data (Article 3.2 above), other recipients may be third parties - our contractors who produce marketing materials for us (leaflets, brochures, websites, promotional videos, etc.).

4.4. We do not carry out any activities in the processing of personal data pursuant to Article 3 which involve automated decision-making or profiling of you, the data subject, within the meaning of Article 22(1) and (4), which would have legal effects on you or affect you in any significant way.

5. Your rights in relation to our processing of your personal data

5.1. We process your personal data in a fair and transparent manner, in accordance with the law. We set out below the rights you have in relation to the processing of your personal data.

5.2. Right to access and rectify your personal data

5.2.1 You have the right to access personal data relating to you as a so-called data subject, under the conditions set out in Article 15 of the Regulation.

5.2.2 If you believe that the personal data we process about you is inaccurate or incomplete, you have the right to ask us to correct or complete it.

5.3. Right to erasure ("right to be forgotten"), right to restriction of processing

5.3.1 You have the right to request that we erase personal data relating to you without undue delay, but only if one of the grounds set out in Article 17 of the Regulation applies.

5.3.2 You have the right to restrict processing in any of the cases listed in Article 18 of the Regulation.

5.4. Right to portability of personal data

5.4.1 You have the right to obtain your personal data which we process on the basis of your consent and which is also processed by automated means in a structured, commonly used and machine-readable format and, where applicable, the right to transmit that data to another entity without being prevented from doing so.

5.4.2 You also have the right to ask us to transfer your personal data to another entity that acts as a so-called data controller, provided that it is technically feasible to do so.

5.5. Right to object to the processing of personal data concerning you

5.5.1 You have the right to object to the processing of personal data concerning you where we process personal data on the basis of Article 6(1)(f) of the Regulation, i.e. for the purposes of our legitimate interests; we justify the processing on the basis of legitimate interests for the purposes of organising the workshop/seminar itself for which you have registered (Article 3.1).

5.6. Right to complain to the supervisory authority

5.6.1 You have the right to complain to the supervisory authority if you believe that the processing of your personal data is in breach of the law. You can lodge a complaint with the supervisory authority, which is:

5.7. How to exercise the right?

5.7.1 You may exercise your data protection rights in writing or electronically at the addresses listed in Article 1 above. Please note that in case of doubt, we are entitled to verify the identity of the person who made the request or objection. The rights under Article 5 cannot be exercised by telephone.
